Joining Webinars
*Important* – Make sure to join 15 minutes prior to session start time to test connection and audio quality with your session facilitator(s).
Login and Connect Audio
Login to your session: Use the Zoom link provided in the panelist invitation email titled, “Incoming SAI Zoom Webinar Panelist Invitations,” which was sent on August 2, 2023. This email explains how to add sessions to your calendar. If you have not received a panelist invitation email for your session(s) please contact Teenya Franklin or Kimberly Leno as soon as possible.
- Follow the directions in the email to add the session to the calendar.
- Select the login link from your calendar invite.
- A dialog box will open. Select “Open Zoom Meetings” to launch the Zoom App.
- After the Zoom app opens, an audio conference options window will open asking you to connect audio using a“phone call” or “computer audio”.
Connecting Audio
- Using a built-in microphone on a computer can result in poor sound quality on the recording. If you must use computer audio, connect an external microphone/headset.

To Connect Audio by Phone:
- Select “Phone Call” and dial one of the Zoom numbers provided. (preferred method)
- Follow the voice prompts by entering the Meeting ID and Participant ID. You will then be connected to your session webinar.
Tech Set-up Tasks
Once Logged in - Complete the following tasks with the facilitator during the Practice Session:
- Be clear about your expectations for the facilitator during tech set up. What do you need them to do? When do you need them to do it?
- Ensure there are no connectivity issues.
- Test Speakers and Microphone volume and quality.
- Discuss with your facilitator how you will handle participant questions. (during or after session, through Q&A window, by unmuting participants, etc.). Facilitator will help you manage questions as needed.
- Make sure you are in good lighting so participants can see your face during the introductions.
- Share your screen and have the opening slide or document showing before your facilitator starts the webinar.
Start of Session
- Session will open at the session start time. The presenter will start the session and the facilitator will close the session.
- During the introduction to the session, please pause for approximately 10 seconds to allow participants to enter.
